Before the Mission

1) Short Term Scientific Mission Application
The future Exchange Scientist must send by email an application for a STSM. The application must be sent to:

• the AP Chair: Luca Roselli, University of Perugia (luca.roselli(at)diei.unipg.it)
• the future HOST Institution
• the Action Chair: Apostolos Georgiadis, CTTC (ageorgiadis(at)cttc.es).

The application must include: the title of the STSM, the proposed dates of the STSM, the budget, and a short workplan summary. In addition, the applicant may include a resume, list of publications and a letter of support from the home Institute. The Application form will be automatically generated after filling in the required information at http://www.cost.esf.org/stsm.

The Application should be prepared based on the fact that it will be evaluated based on the Internal rules listed in Appendix 2.

2) HOST Institution Acceptance
The HOST Institution must send an email to the AP Chair indicating that they accept the Exchange Scientist. It is the responsibility of the Exchange Scientist to make sure that the HOST Institution sends the required email. The email template is listed in Appendix 3.

3) Application Assessment
The AP Chair, will circulate the application to the AP. The AP will provide an assessment of the application based on the internal rules. Appendix 2 contains the internal evaluation rules for the Action. Three reviews are required.

4) Application Approval
The AP Chair will send an approval email to the Grant Holder. The email must be received by the Grant Holder a minimum 4 weeks before the mission starts. (Email template in Appendix 4). The email should include all the application documents (application letter, resume etc.) as well as the HOST acceptance email.

The Grant Holder will then send an email to the Exchange Scientist including:

• the STSM acceptance letter (Appendix 5), and
• a copy of the Payment Request Form (Appendix 8) to be filled after the mission is completed.

5) STSM acceptance Letter Approval
The Exchange Scientist must sign the STSM acceptance letter and return it to the Grant Holder by email as well as a hardcopy by regular mail. The Grant Holder address is:
